Sample Services and Fees
Timeline/Critical Task Calendar Fee range: $0-$250.00
- In association with the event staff, develop a timeline that identifies key dates, required actions, and who is responsible. This is a critical piece of the event planning process — especially critical within 180 days of the planned event date.
Jurisdictional and City Works Interaction/Permits Fee range: $0-$500.00
- In association with event staff/leadership, identify and insure all required (and appropriate) city, county and federal agency permits are acquired. This includes proactive communication concerning the event scope and plan and coordinating site visits/meetings 30-45 days out from planned event date.
Site Visits Fee: $250.00 per day*
- *plus travel, lodging and any other pre-approved related expenses.
Event Labor Procurement and Management Fee range: Event dependent
- Develop and identify key independent contractor positions to maximize the event experience. Finally, recruit, and contract a qualified and highly motivated team to insure world class execution in event set-up and race day management. Generally, personnel are billed at $250.00 per day plus lodging , travel and meals. In association with event staff/leadership, develop and provide an overall Organizational Chart.
Service Providers and Vendors Fee range: $0-$500.00
- Develop materials list, request bids and secure event related materials from various vendors, including but not limited to traffic control devices, barricade fencing, timing services, food and beverage, tents/table/chairs, etc. Act as point of contact, insuring delivery and placement, and processing of vendor payments.
Event Budget Fee range: $0-$500.00
- In association with event staff/leadership, create and submit an Event Operations/Logistics Budget based upon identified goals and outcomes. This Budget will include projected revenues from all sources as well as line item expenses, typical to events off similar size and scope.
Event Production Fee range: $0-$5000.00
- Work with tent and table and chair vendor on set up of tents as well as table and chair delivery.
- Coordinate signage or banner needs.
- Assist vendor on scaffolding/truss.
- Place barricades and cones for traffic control.
- Create and implement transportation plan to move participants and/or spectators.
- Work with event staff and vendor on ordering, setting up, and removing portable toilets.
- Work with event staff and vendor on ordering, setting up, and removing barricade fencing.
- Assist event staff with stage and sound coordination on site at any/all event locations.
- Manage on-course operations to insure participant safety.
- Assist event staff with coordination of Public Safety (Police/Fire/EMS) personnel.
- Work with event staff on overall course preparation in accordance with any and all agency permitting and/or specific neighborhood/venue requirements.
- Develop and submit a supply list for all rest stops, finish line and start line areas.
- Advise on other services, which may make the event run more efficiently from both a logistic and budget perspective.
- Work with event staff to determine generator needs; contract generators, work on set up and placement of generators.
- Oversee all event production and logistics and related subcontractors.
Event Manual Fee range: $0-$500.00
- In association with event staff/leadership, develop/create and submit an Event Manual Budget to be distributed by the event to all relevant personnel and/or agencies.
